JOB DESCRIPTION: ADMINISTRATIVE ASSISTANT

Skills necessary for the job of Administrative Assistant:

  • Organization
  • Good interpersonal & written communication skills
  • Ability to work independently & efficiently, while also receiving direction
  • Attention to detail
  • Proficiency in (or willingness to learn) Gmail, MailChimp, WordPress, GoogleDocs
  • Typing, word processing, editing & layout skills
  • Experience managing social media (Facebook & possibly other platforms)
  • Time management
  • Ability to prioritize multiple tasks in multiple areas

High School diploma or equivalent preferred.

Duties of the Position:

ENSURE THE SMOOTH FUNCTIONING OF THE CHURCH OFFICE:

  • Checking & distributing physical church mail
  • Checking general church email (responding & forwarding as appropriate)
  • Answering phone/checking messages
  • Maintaining church calendar
  • Managing background check paperwork
  • Maintaining church files (Congregational Meeting Minutes, crisis/funeral forms; purple notebook)
  • Maintaining office equipment (including updates & repair management)
  • Answering the telephone:  responding to routine inquiries and direct calls as needed
  • Maintaining church files
  • Keeping church calendar updated with church activities

MAINTAIN CHURCH INTERNET PRESENCE

  • Maintaining church announcements web page
  • Sending weekly email newsletter
  • Updating church website
  • Posting on social media as directed by pastor
  • Maintaining email and MailChimp address lists

BUILDING MANAGEMENT

  • Managing key lock box & communicating code changes
  • Serving as contact person for cleaning company communications
  • Keeping list of who has key codes & physical keys to our building
  • Maintaining bulletin boards and literature table display as needed. 
  • Responding to requests from the Building and Grounds Committee; alerting  the committee of maintenance needs

FACILITATING WORSHIP AND OTHER CHURCH PROGRAMMING

  • Editing & printing church directory each year
  • Maintaining birthday list
  • Maintaining contact information for church participants
  • Providing training material on an annual basis to all who volunteer with youth
  • Managing background check paperwork
  • Adding announcements, formatting & printing church bulletins each week 
  • Managing worship volunteer schedule & sending reminders to volunteers

OTHER DUTIES

  • Assisting church committees,  leaders, and pastor as requested
    • This includes but is not limited to ordering materials, making copies, sending community emails, posting on the web site and social media

Hourly Rate:  $15.00

Hours:  10-12 hours per week to be worked over 2-3 mornings or afternoons on weekdays in church office (schedule to be arranged with supervisor).

The Administrative Assistant will report directly to the Pastor, Joanna Harader.
